Meeting Space Calculator: Unit Standardisation

Lead Content Designer · Global UI · 2024

Cvent's meeting space calculator used three different abbreviations for square feet on the same product, with no metric option for international users. I researched the right standard, introduced a unit toggle with location-based defaults, and added layout-specific tooltips explaining why space requirements vary by seating type. One terminology decision, applied consistently across UI, tooltips, and documentation.

The problem

"SF," "sq ft," and "ft2" appeared in the same product, sometimes on the same page. International users had no metric option. Layout-specific space requirements were unexplained, leading to consistent calculation errors.

Research and decisions

"sq. ft." was chosen over "SF" (informal, unclear) and "ft2" (too technical). Used consistently across UI, tooltips, and documentation.

A toggle was introduced to switch between sq. ft. and sq. m, with location-based defaults. Metric abbreviations avoided trailing periods: "sq. m" not "sq. m."

Layout-specific tooltips explain why space requirements vary by seating type.

Example

Before: Total Area: 3000 SF

After: Total Area: 3,000 sq. ft. required for this setup.
